Administrative Assistant (One Position):

Working under the supervision of the Administrative Officer, the Administrative Assistant will be responsible to assist the administrative Officer with the handling of basic administrative functions. She/he will serve as a point of contact for inquiries and responding or referring to senior management and other managers as appropriate.

 

Duties and Responsibilities:

  • Act as a point of contact for the Commission, including inquiries, assessing the nature and urgency of calls and responding or referring to senior management and other officers as appropriate;
  • Produce a range of documents including letters/emails and presentations to a good standard by the required deadline;
  • Use electronic and manual filing systems, with due regard to security and confidentiality;
  • Maintain diaries, appointment systems, scheduling and arranging meetings including managing bring forward systems on a daily basis as may be instructed;
  • Maintain record-keeping systems for recording and monitoring; services processes and provide regular summary reports to management and supervisor to ensure that relevant updates and reviews take place in a timely fashion;
  • Develop and maintain up to date information;


Education and Experience

A University degree (A minimum of Bachelor) in Public Management, Management, Business Administration or related field of studies.  Two to three years’ experience in Administrative position is desirable.

 

 

Skills/Knowledge:
Demonstrates strong leadership, interpersonal and team building skills including negotiation skills;

  • Knowledge, skills and understanding in applying the principles  and practices of the Commission’s policies;
  • Ability to plan, organize, coordinate and direct best practices;

 

  • Understanding of the institution’s principles, practices and structure;
  • Excellent writing and spoken communication skills;
  • Perform other duties and functions as may be assigned;
  • High level of analytical skills and scientific thinking. The ability of making sound decisions;
  • Knowledge in using personal computer and running MS Office applications such as Word, Excel and E-mail.
